2019 Season Volunteer Information


For this season the volunteer points will be the same for all of the below positions. For those not wanting to complete the below positions, a fee of $200 will be charge during the registration process.

As we work through the changeover from our previous website to the new, we are still working to integrate the volunteer portal into our site.  Please print and submit your volunteer form to track your volunteer hours.  We hope to have the Volunteer Portal functional soon.

To log your volunteer hours, click the link above to log into our volunteer portal.
If you do not complete your volunteer hours on line you will automatically be charged the $200.00 non-volunteer fee at the end of the 2019 season.

  1. Enter your user name.  This would be the email address that you used to register your child.
  2. Enter the password - this will be supplied to you by the volunteer coordinator or board member that you are volunteering for.  If they have not provided it to you, please contact them to complete this process.
  3. The volunteer information page will pop up, you will then Click on the link to the left that says “click here to update volunteer completion date and comments”
  4. Then click on the completed date, Choose the date you completed the task.
  5. In the comments section please enter the name of the coordinator / board member you completed the task for and the task you did for them. ie: Check in table.
  6. Hit Update in the right of the screen.

Please remember if you have signed up for more than one volunteer activity and you have not completed them on line yet you will continue to get reminders and other volunteer opportunities sent to you.

Team related duties are excluded from the volunteer point process. Team related duties are expected to be completed by all team members and administered by the team manager.

Executive Kit

The board has 12-14 meetings between Oct to Mid July. Duties for particular roles are listed (but not limited). Overall, the board is a group of parents that wish to improve lacrosse for the betterment of theirs and future children. Please consider any of the below positions:

President (ELECTED BIENNIALLY)

Responsibilities include:

  • Coordinating and overseeing the efforts and day-to-day operations of the club
  • Preparing agendas for committee or annual general meetings
  • Representing the club at meetings of the Calgary District Lacrosse Association (CDLA), the CDLA’s Minor Box Council and the Alberta Lacrosse Association (ALA)
  • Acting as a primary contact for club information

Vice Presidents Minor and Major (ELECTED BIENNIALLY)

Responsibilities include:

  • providing advice to the President and the Board
  • assuming the duties of the President in the event the President cannot complete his/her duties
  • taking on other roles and responsibilities as required (2 Vice Presidents)

Treasurer (ELECTED BIENNIALLY)

Responsibilities include:

  • manages club banking, deposits and cheques
  • balancing of bank accounts
  • paying invoices and bills in a timely manner
  • reconciling online receipts to bank records
  • collecting mail from the association mail box in coordination with the Secretary

Secretary (ELECTED BIENNIALLY)

Responsibilities include:

  • taking minutes of each Board meeting
  • typing and distributing club minutes to Board members in a timely manner
  • maintaining a master file of all club agendas, minutes for annual filing with club lawyer
  • collecting mail from mail boxes in coordination with the Treasurer
  • Book meeting rooms for monthly Board meetings and any other meetings for the conduct of club business.
  • Filing master list of Board of Directors with the ALA each season.

Other board members

Registrar Responsibilities include:

  • Assisting the Board in the design and printing of registration forms
  • Drafting the registration info letter to parents for mail-out with the aid of the Board
  • Organizing walk-in registration ( e.g. place, time, volunteers )
  • Setting up online registration for the current season
  • Provide information for any inquiries during the registration process.

WebMaster / Communications

Responsibilities include

  • Preparing other club promotional materials as required
  • Preparing communication materials for club website and maintenance of club website.

Equipment Director

Responsibilities include

  • Overseeing management of club equipment and jerseys including storage, repairs, distribution and season end collection.
  • Providing the Board with annual inventories of equipment (condition, quantity), with recommendations for new equipment
  • Purchases, budgets etc. Will work with the Treasurer to ensure accurate information.
  • Working with the Board to ensure that new equipment is fairly and appropriately distributed to all levels of players
  • Managing equipment deposits

Discipline Director

  • Providing advice to the Board on discipline decisions affecting players, coaches or parents
  • Representing the club on disciplinary committees of the CDLA as required

Division Coordinators

Pre-Season

  • Identify and select coaches (with aid of registration information and input from Coaching
  • Director and President using the prior years coach surveys as a tool) for each team in your division.
  • Oversee evaluations in your division
    • the evaluation committee will send out information on the process
    • a meeting will take place with the evaluation committee to go over the process and what is required: volunteers etc
  • Oversee drafting of teams in your division
    • you will work with the evaluation committee to ensure coaches are in place and balance
      is maintained as much as possible
  • Ensure your coaches attend the coaches meeting to review processes, season information and address any concerns. Outdoor practice time slots may also be determined at this time.
  • You will work with the Registrar to obtain a list of volunteers for the season.

Mid-Season

  • Providing primary contact for information to coaches (e.g. available tournaments, clinics, fundraising, etc )
  • Providing coaches with a list of all club coaches (and contact numbers) in their division
  • Overseeing proper implementation of payer call-up procedures ( please discuss with higher and
  • lower division coordinators to organize and ensure procedure is communicated to coaches )
  • Ensure team photos are taken care of - just confirm with teams that they have their photos taken care of
  • Check that game results in your division are reported promptly
  • Attend the Manager’s meeting

Post-Season

  • Remind coaches of equipment/ jersey drop off day
  • Remind goalies of equipment drop off day
  • Ensure coaches complete post season player evaluations and hands them in for the Evaluation committee. This is the basis of the first evaluation day for the next season.
  • Collecting any other information from coaches in their division as part of annual club planning purposes

Team Managers

Zero Tolerance Policy

How many volunteers do we need for a game?
Three or Two
Home Games you need 3 volunteers: 1- Timekeeper 1- 30 Second Shot Clock 1- Your team penalty box ( optional but recommended for Bantam and higher)
Away Games you need 2 volunteers; 1-Scorecard ; 1-Your team penalty box (optional but recommended for Bantam and higher)

Where do I send game sheets to?
Game sheets are due to the CDLA ( fax/email) within 24 hours of completing the game)
Instructions

Do I need to take a deposit for the team jerseys?
The Sabrecats encourage each manager to collect a post dated cheque (August 1,20xx) for $50.00 from each parent at the parents meeting as a deposit for the jersey. The cheques are to remain with the team manager. All cheques are to be made to the Sabrecats Lacrosse Club. If the jersey is not returned the cheques are then cashed.

Referee Kit

Lacrosse is a passionate and emotionally charged sport. Officials, because of the role they play in the game often become the unwilling target of the frustration and emotion experienced by players and non playing personnel (coaches, assistant bench coaches, spectators). The Calgary lacrosse clubs with the Alberta lacrosse referee association oversee this responsibility.

In summary, referee responsibilities include:

  • Know box lacrosse CLA/ALA rules; update yourself on current rule changes.
  • Understanding the game.
  • Be in condition (mentally - “being aware of 10 moving players”, and physically - “running the floor”)
  • Ability to communicate penalty administration crisp and fast to “volunteers”
  • Penalize dangerous play severely
  • Show up ready to referee, prepared for every game.
  • Consistent enforcement of rules (do not become tired of making calls - some nights this may not stop)
  • Timely documentation (REPORT EVERYTHING)
  • Enjoy! and maintain a proactive and effective relationship with players and coaches.
